Kolm Front Desk Job Description

 

 

Kolm, launching Fall 2024, is Vancouver’s premier luxury immersive Sauna and Ice Bath experience equipped with all amenities. Offering classes and self guided sessions, our mission is to provide a learning ground for personal development, and create a community of like-minded growth seekers.

 

Job Overview

The Front Desk team is responsible for delivering the highest level of customer service to all guests and prospective clients. The ideal candidate is passionate, friendly, present and experienced in delivering exceptional customer service. They will ensure optimal flow of guests throughout the space, complete studio tours, ensuring prompt response to any inquiries such as in person, email, phone or social media. Front Desk will report any issues to the General Manager or manager on duty. We are looking for someone who enjoys connecting with others, is calm, warm, and has superior skills in communication and organization.
 

Responsibilities

  • Knowledgeable of the brand mission, core values and culture, setting an example for guests and staff alike.
  • Responsible for all customer service needs: checking in guests, answering phone calls, emails and digital inquiries.
  • A problem solver that provides solutions for customer needs, customer complaints or account issues.
  • First name culture with guests to build a sense of community and belonging.
  • Takes pride in the customer experience, driving sales, knowledge of class offerings, current promotions and all aspects of the sales process.
  • Responsible for managing Mariana Tek; from sign-in and attendance, to sales reports and booking services. Updates customer accounts, managing memberships, credits, cancellations and collection of overdue accounts.
  • Completes opening and closing checklists as needed.
  • Offering thoughtful, clear communications with Management, Sweat Equity, Guides and Cleaning teams.
  • Reports to General Manager: customer service needs, client account issues, sales reports, cleaning support needs including; regular inventory reporting, studio maintenance issues and any operational needs.
  • Engages in our internal slack channel to provide feedback and shoutouts.
  • Regular circulation of all areas to ensure proper organisation and cleanliness; front desk, change rooms, maintaining tea room, sauna + ice bath maintenance, washrooms and staff/storage room, laundry, retail and organizing lost-and-found items.
  • Perform other studio duties as needed.
  • Front desk team may assist Guides will flow of people from sauna to ice bath mid class.
 

Physical Requirements

  • Work on your feet for 8 hours
  • Move, pull carry or lift 20 pounds
  • Must be able to kneel, bend, reach, and climb Able to work in an environment with large temperature variations
  • Able to work in an environment with large temperature variations
 

Qualifications

  • Must be available to work 2-3 shifts per week; ability to work a flexible schedule including, early mornings, late nights, weekends and some holidays (open year round).

  • Proficiency with computers, Mariana Tek (client booking software).
  • Previous customer service and administrative experience required; fitness, wellness industry and sales experience preferred.
